At this weekend’s wedding seminar in South Florida, I spent a bit of time discussing contract negotiations and working with vendors who will help you maintain your budget. I truly believe that a good and ethical wedding professional will look beyond pure profitability in order to make recommendations for ways get services you want without overspending. Sometimes, the vendor’s recommendation may be to suggest another vendor who can accommodate your budget, others will work with you to shave costs of their own packages in order to work with you. In either case, knowing what you can spend is critical.

As we were discussing this, a bride name Megan offered up her story. She has found her location and hired a number of vendors. Almost everything of hers has been contracted. While she was reviewing what she was spending, she realized that she was spending a bit too much. She needed to find a way to cut costs. This is no easy task once a contract is signed.

Megan was very lucky. She went to her reception site and told her representative her plight. He suggested to her that she change the time of her reception in order to save money. That is exactly what she did. She moved from an evening wedding to an afternoon wedding and saved 10 percent on her bottom line. Just enough to help maintain her budget.

I want to emphasize that this is a very risky maneuver. It is much better to plan your budget in advance and stick to it. Going back to renegotiate a signed contract is very difficult.

Happy Tuesday everyone. I am back in the office after a hot, hot, hot Orlando day and now I am getting ready for my webinar this evening. I am looking forward to chatting with you brides out there again. I find that all of us learn from each other when we share information at these webinars. I will share any tidbits I get this evening.

This month’s webinar is entitled Wedding Budget Boosters. Priorities are really important when deciding on a budget for your wedding. I have read the typical percentages that many magazines and books tell you that you will need to spend on services for your wedding, but I don’t think that all couples spend their money the same way.

Before you start shopping, or before you continue shopping, take some time to decide what items and services are most important to you. Do you want the best photographer in town? Do you want tons of flowers? Do you want the top reception location in town? Make sure to put more money into the items that are most important to you and less into those with less significance.

Happy Friday everyone. I hope you plan to take a bit of a wedding planning break this weekend.

I have a great photo to share with you from a wedding I did a couple of weeks ago. My bride wanted to have something pretty, but cost effective. I think she succeeded!

This arrangement was done by a professional florist here in Orlando for a really great price (this took a lot of stress off of the bride) If you are a do-it-yourself bride, this centerpiece can done relatively easily. You can find grass at a home improvement store, lanterns and candles at a craft store and Gerber Daisies at the grocery store. Just find a crafty assistant to assemble them on the wedding day.

I spent some quality time with brides from all over the United States over the past couple of days during my free Wedding Budget Boosters webinar. They had some interesting questions that I would like to share with you.

After discussing the importance of guest lists and targeting and planning a good budget, we moved on to the topic of “Wedding Budget Busters.” A “budget buster” is an expense that you may not have thought about, but that can really take you off target when it comes to planning what you are going to spend. The brides were really interested in how to deal with the bar, so I’m going to do a follow up to that topic today.

There are typically three options from which you can choose when paying for your reception bar:

• Hourly Hosted Bar: This option means that you are paying per guest over the age of 21 by the hour to drink as much as he wants. This is a great option if you want to know your bar bill upfront (this makes planning your bar budget very straight forward). There are some things you need to watch out for — If you have a lot of guests who don’t drink alcohol, you may pay less with a consumption bar option (see the next bullet point), Also, people tend to drink very heavily during the first couple of hours. Caterers typically account for this by reducing the hourly rate after the first one, so make sure that your hourly rate goes down with each passing hour.
• Consumption Bar: This is a great option if you don’t have many heavy drinkers. You will pay for what your guests drink. The downfall of this option is that your catering manager can only estimate what your guests are going to drink. You will not know your final bar bill until after the event is over. If you need to know your budget to the penny, this is not the option for you.
• Cash Bar: This is a less popular option for social events. Your guests will pay for their own drinks, however, you still have to account for this option in your budget because you will likely have bartender and/or cashier fees.

Your reception site may let you combine the bar options as well. For example, you could have an hourly, per person bar for the first two hours and switch to consumption or cash later on. Study your guest list before making your final bar decision and don’t forget to account for the service charge.
